This Privacy Policy explains how we handle personal information collected through our website, which is built using Next.js and hosted on Sanity. It applies only to the website and not to our separate membership records or in-club operations.

We collect very limited personal information. This occurs only when you voluntarily submit it:

• Contact Form: When you use our contact form, we collect your name, email address, and any message you provide. This information is emailed directly to the club and is used solely to respond to your enquiry.
• Technical Data: We use Sentry for observability. Sentry collects error and performance data, but it is configured to be anonymous. No personal identifiers (such as IP addresses or names) are intentionally collected or stored in Sentry.

We do not use cookies for advertising, analytics, or tracking purposes beyond the essential operation of the site.

3. How we use your personal information

• Contact Form Enquiries: Your name, email, and message are used only to reply to your enquiry. We do not add this information to any mailing list or marketing database.
• Website Improvement: Anonymous error data from Sentry helps us identify and fix technical issues to ensure the website functions correctly.

4. Disclosure of personal information

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

• Service Providers: Your contact form submission is transmitted via email to our club’s email system. Our email hosting provider may process that data on our behalf. Sentry (Functional Software, Inc.) processes anonymous error data. We ensure these providers have appropriate privacy protections in place.
• Legal Obligations: If required by law or to protect the rights, property, or safety of MNRC or others.

5. Data security

We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. However, no internet transmission is completely secure.

6. Access and correction

You may request access to or correction of the personal information we hold about you (limited to contact form submissions). To do so, please contact us using the details in section 9. We will respond within a reasonable timeframe.

7. Overseas disclosure

We use Sentry, a service provided by Functional Software, Inc., which is based in the United States. Anonymous error data may be transferred to and stored on servers in the United States. By using our website, you consent to this transfer. We do not otherwise disclose your personal information overseas.

8. Changes to this policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date. We encourage you to review it periodically.

11. Bot protection (Cloudflare Turnstile)

We use Cloudflare Turnstile to help protect our contact form from automated abuse. When you submit the contact form, Turnstile runs an invisible verification check. As part of this, Cloudflare (Cloudflare, Inc., based in the United States) may receive and process limited technical signals from your browser and connection, including your IP address.
